Policy for Cell Imaging Facility at Dept. Oncology

Prioritization of use:

Access to the equipment is prioritized. All onsite users have the highest priority. The offsite cross appointment users will be given higher priority to the usage of the machines over those who have no academic attachment to the Department of Oncology.
 

Booking:

  1. Equipment in Cell Imaging Facility can be booked, up to 2 weeks in advance, online at: http://www.cellnucleus.com/facilityweb/login.aspx on a first-come first-serve basis.
  2. For Confocals, unless required by the experiment (e.g. live cell Imaging) and approved by Manager of the Facility, a single user can not book more than 3hr/day.
  3. Failure to show up within 30mins of booked time may result in loss of the access to the instrument.

Important information about Cancellations:

a.       Cancellation must be done at the earliest convenience.

b.      There will be no charge if the booking is cancelled 24hrs prior to the booked time.

c.       Canceling within the same day, either due to sickness or experiment failure, the laboratory will be charged for 1hr.

d.      A no-show without any explanation prior to the booking will be charged for the whole period of booking.

  1. Log your usage, please note that if the machine is booked and usage is not logged, it will be considered a no-show and charged for the whole booking period.
  2. Offsite usage will be limited to 25% of the instrumentation time/week at the discretion of the manager of the Facility.

Overbooking:

Booked time and actual usage will be closely monitored. If a consistent pattern of overbooking is observed, the lab. or user will be notified and possibly charged for a certain percentage of their over booking time.
 
 

Policy regarding collaboration of offsite users with Department of Oncology researchers

  1. It is up to individual collaborators to divide the charge for the bill.
  2. Normally, the charge will be based on to which laboratory the user belongs (whether onsite or offsite).
  3. In the situation where offsite users are carrying out experiments for onsite users, a written notice must be given to Dr. Sun prior to the start of the experiment. Otherwise, both onsite and offsite labs are responsible for the charge if any disagreement arises. In the notice, the following information must be included:
  1. A brief description of the project.
  2. Explicit description for how the charges will be divided between labs.
  3. Duration of the project and the anticipated confocal time needed for the project.
  4. The name(s) of the person(s) who will use the confocal microscope.
  5. Date and signatures of both onsite and offsite collaborators.

Data storage:

1)      Users are responsible to back up their own data. The Facility bears no responsibility in loss of data due to hardware failure or accidental deletion of data.

 

2)      All data should be located in folders clearly identifiable to the user in their lab folders. No data file should be placed on system drives (usually C or D drives) or on desktop.

 

3)      Any file left on computers older than 6 months; > 1Gig and/or not-identifiable by the Facility to whom it belongs to could be deleted without warning or it will be backed up by the facility at the cost of $50/DVD or CD.
